A reseller inventory spreadsheet that survives the whole flip

A useful inventory sheet answers three questions quickly: what do I own, where is it, and what did it actually earn? Start small enough that you will keep it current.

The columns worth keeping

Give every item a stable SKU, even if a marketplace creates its own identifier. Record the item title, status, quantity, purchase date, source, unit cost, storage location, marketplace, listing ID, list date, sale date, and sale price.

  • Identity: SKU, title, category
  • Purchase: date, source, cost
  • Inventory: status and storage location
  • Sale: marketplace, dates, price, fees, shipping, refunds
  • Result: net profit, margin, and ROI

Separate facts from calculations

Enter raw facts such as sale price and postage in their own columns. Calculate gross revenue, total direct costs, and net profit separately. That makes mistakes easier to find and lets you change a formula without rewriting the original record.

Use one row per sellable item when possible. If you buy a lot, document how you allocated the lot cost so the per-item profit still has a defensible basis.

When a spreadsheet starts fighting back

A sheet works well while updates are occasional and one person maintains it. It becomes fragile when listing status changes constantly, fees arrive later, or the same item is touched on several devices.

FlipHall can import a CSV and connect eBay so active listings and paid orders stay current. Keep the spreadsheet as your portable starting point, then move when manual upkeep costs more time than it saves.

Put the system to work.
